What Is Expiration Date Tracking?

Expiration date tracking is the process of capturing and managing the expiration or best-by date for every batch of inventory in a warehouse. It applies to any product with a limited shelf life, including supplements, skincare, cosmetics, snacks, coffee and tea.

The goal is simple: know how much stock is approaching its date, ship the earliest dates first and avoid sending customers products that are expired or close to it.

How It Works

Dates are recorded at receiving, usually together with the lot number. The warehouse management system stores each lot with its date and location. When orders come in, pickers are directed to the earliest-dated stock, which is the first-expired, first-out method.

Brands can also use the date data for planning. For example, a snack brand might see that 600 units of one flavor have a best-by date in six weeks. That is a signal to run a promotion, bundle the flavor into a variety pack or slow down the next purchase order.

  • Capture dates for every lot at receiving.
  • Pick by earliest date first.
  • Watch for short-dated stock and plan promotions early.

Why It Matters for Ecommerce Brands

Expired inventory has to be written off, which hurts margin. Tracking dates gives you time to act before that happens. It also protects reviews and repeat purchases, because customers notice when a product arrives close to its date.

Retailers and wholesale partners often require a minimum remaining shelf life on delivered goods. Accurate date tracking makes it possible to send compliant stock to those partners while still serving direct-to-consumer orders.

FAQ

Common Questions

Still unsure? Call (310) 415-7759 and talk to the team that packs your orders.

What is the difference between an expiration date and a best-by date?

An expiration date indicates when a product should no longer be used, while a best-by date suggests peak quality. Both should be tracked for rotation.

How is expiration date tracking connected to FEFO?

FEFO uses the recorded dates to decide which units ship first, so date tracking is what makes FEFO possible.

What should I do with short-dated inventory?

Common options include discounting it, bundling it into kits, using it for samples or donating it, depending on the product and remaining shelf life.
