What Is a Warehouse Management System (WMS)?

A warehouse management system, or WMS, is the software that runs a warehouse. It keeps a live record of every SKU, how many units are on hand and exactly where each one is stored. It also tells staff what to do next and checks that they did it correctly.

For a 3PL, the WMS is also the bridge between the warehouse and the brand's sales channels.

How It Works

A WMS handles each step of the warehouse workflow:

  • Receiving: records inbound inventory, lots and expiration dates.
  • Putaway: assigns and confirms storage locations.
  • Picking: directs pickers to the right bin and verifies items by barcode scan.
  • Packing and shipping: confirms contents, generates labels and sends tracking back to the store.
  • Reporting: shows stock levels, order status and inventory history.

Why It Matters for Ecommerce Brands

The WMS is what makes accurate, fast fulfillment possible at scale. It reduces mistakes by requiring scans at each step and gives brands visibility into their inventory without being on site.

When evaluating a 3PL, ask which WMS it uses, how it connects to your store and marketplaces, and what you can see in the client portal. For example, a brand can check stock levels by SKU, follow an order from receipt to tracking number and review lot or expiration data without emailing the warehouse.

The WMS also shapes how well the 3PL handles special requirements. Lot tracking, FEFO picking, kits and bundles, and retail orders all depend on the system supporting them cleanly. A capable WMS lets the warehouse apply these rules consistently on every order rather than relying on memory or manual notes.

FAQ

Common Questions

Still unsure? Call (310) 415-7759 and talk to the team that packs your orders.

What is the difference between a WMS and an inventory management system?

An inventory management system tracks stock levels, while a WMS also directs the physical work in the warehouse, such as putaway, picking and packing.

Do I need my own WMS if I use a 3PL?

Usually not. The 3PL runs its WMS and connects it to your sales channels, and you access inventory and order data through its portal.

How does a WMS improve order accuracy?

By requiring barcode scans at picking and packing, a WMS confirms the right item and quantity before an order ships.
