What Is Real-Time Inventory Sync?

Real-time inventory sync means that when inventory changes in one place, the change is pushed to every connected system quickly and automatically. When a unit sells, is received or is returned, the available quantity updates on your website, marketplaces and wholesale channels.

In practice, sync may happen instantly or on a short schedule, but the goal is the same: every channel shows close to the true available stock.

How It Works

Inventory sync relies on integrations between the warehouse management system and each sales channel. The WMS is usually the system of record for physical stock. It sends updated quantities to the store and marketplaces, and receives new orders back.

For example, a brand sells on Shopify and TikTok Shop. A customer buys the last two units of a lip kit on TikTok Shop during a livestream. The order reaches the warehouse system, available stock drops to zero, and Shopify updates so no one else can buy the item there.

  • Keep one system of record for stock.
  • Map SKUs exactly across every channel.
  • Test sync for bundles, returns and pre-orders.

Why It Matters for Ecommerce Brands

Without accurate sync, brands oversell, cancel orders and frustrate customers. With it, they can sell confidently across multiple channels from one pool of inventory, which reduces the need to split stock between channels.

Good sync depends on a few basics: one system of record for inventory, clean SKU mapping between channels, and accurate warehouse counts. If any of these are off, even a fast sync will spread incorrect numbers everywhere. Brands should also test how returns, bundles and pre-orders affect available quantities.

FAQ

Common Questions

Still unsure? Call (310) 415-7759 and talk to the team that packs your orders.

Why does inventory sync matter for multichannel brands?

It keeps every channel showing accurate stock, which prevents overselling when the same inventory is sold in several places.

What is the system of record for inventory?

It is the single system whose stock count is treated as the truth. For brands using a 3PL, that is usually the warehouse management system.

Can inventory sync handle bundles?

Yes, if bundles are mapped correctly so that each sale reduces the stock of every component or of the pre-built bundle SKU.
