What Is an Order Management System (OMS)?

An order management system, or OMS, is software that brings orders from all of a brand's sales channels into one place and manages them from purchase to delivery. It tracks order status, applies rules for how orders should be handled, and keeps inventory and customer updates consistent.

An OMS differs from a warehouse management system, or WMS, which runs the physical work inside the warehouse.

How It Works

An OMS typically handles:

  • Collecting orders from stores, marketplaces and wholesale channels.
  • Applying routing rules, holds and priorities.
  • Tracking inventory available to sell across channels.
  • Sending orders to the warehouse and receiving shipment updates.
  • Managing changes, cancellations and returns.

Why It Matters for Ecommerce Brands

As brands sell on more channels, managing orders separately in each platform becomes error-prone. An OMS gives one view of every order and helps prevent problems like overselling or orders sitting unshipped.

For example, a brand selling on Shopify, TikTok Shop and wholesale might use an OMS to collect all orders, hold any that look fraudulent, split pre-orders from in-stock items, and send the rest to the warehouse.

Not every brand needs a separate OMS. Many growing brands rely on their store platform plus their 3PL's warehouse system, which together cover order syncing, inventory and tracking. A standalone OMS becomes more useful as channel count, order rules and inventory locations grow.

The key is making sure whichever tools a brand uses share one accurate inventory count. Multiple systems that each think they know stock levels can cause the very overselling an OMS is meant to prevent, so brands should be clear about which system is the source of truth for inventory.

What is the difference between an OMS and a WMS?

An OMS manages orders across channels, while a WMS manages the physical work inside the warehouse, such as picking and packing.

Does a small brand need an OMS?

Often not at first. A store platform connected to a 3PL's warehouse system covers the basics for many brands.

Can an OMS connect to a 3PL?

Yes. Many OMS tools send orders to a 3PL and receive tracking and inventory updates back.
