Inventory reconciliation is the process of making sure every record of your inventory agrees. That includes the physical stock in the warehouse, the warehouse management system, your ecommerce store and your accounting books.
When those numbers drift apart, reconciliation finds the gap, explains it and brings the records back in line.
Reconciliation typically starts with a count, either a cycle count or a full physical inventory. The counted quantities are compared to the warehouse system. Then the warehouse system is compared to the storefront and any other sales channels, and finally to the accounting records.
Each difference is investigated. For example, a brand might see 210 units of a hoodie in Shopify, 200 in the warehouse system and 198 on the shelf. The team might find that ten units shipped on a wholesale order were deducted in the warehouse but not yet synced to the store, and two were set aside as damaged. Once the causes are known, records are adjusted with notes explaining why.
Unreconciled inventory leads to overselling, unnecessary reorders and inaccurate financial statements. Inventory is often one of the largest assets an ecommerce brand holds, so small errors add up quickly in both cash and customer experience.
Regular reconciliation also exposes process gaps. If the same type of variance keeps appearing, such as returns being restocked slowly or receiving counts not matching supplier paperwork, you know where to focus improvements.

Many brands reconcile monthly, with more frequent checks for fast-moving SKUs and a full review at the end of each financial period.
A cycle count is a physical count of selected stock. Reconciliation is the broader process of comparing all records and correcting the differences.
Receiving errors, unprocessed returns, damaged goods, mis-picks and sync delays between systems are among the most common causes.
