Exchange

An exchange is a return in which the customer receives a replacement item, such as a different size or color, instead of a refund.

What Is an Exchange?

In ecommerce, an exchange happens when a customer sends back a product and receives a different product in place of a refund. The most common reasons are size, fit and color, but exchanges also cover defective items replaced with a working unit. Some brands offer exchanges for a different product entirely, often through store credit applied at checkout.

How It Works

Exchanges combine a return and a new outbound order:

  • The customer starts a return and selects an exchange item, usually in a returns portal.
  • The system creates a return record and a new order for the replacement.
  • Depending on the brand's policy, the replacement ships either after the original item is received and inspected, or right away.
  • The warehouse inspects the returned item and restocks it if it is sellable.
  • Inventory updates for both items: one unit comes back in and one goes out.

For example, a customer who ordered a medium hoodie requests a large. The returns portal creates an exchange, the large hoodie ships from the warehouse, and when the medium arrives and passes inspection it goes back on the shelf.

Why It Matters for Ecommerce Brands

An exchange keeps the sale instead of refunding it, which protects revenue and often leaves the customer happier with the right product. Exchanges are especially valuable for apparel, footwear and accessories, where fit-related returns are common. They do add operational complexity, since each exchange creates two shipments and two inventory movements. Brands should check stock levels before offering exchanges on low-inventory items and decide whether to ship replacements before or after the return arrives, which trades customer speed against fraud risk.

FAQ

Common Questions

Still unsure? Call (310) 415-7759 and talk to the team that packs your orders.

Is an exchange better than a refund for a brand?

Usually, because the brand keeps the revenue. The trade-off is the cost of an extra outbound shipment and the extra handling.

Should replacements ship before the return arrives?

Shipping first gives customers a faster experience but adds risk if the original item never comes back. Many brands ship first only for trusted customers or lower-value items.

How do exchanges affect inventory?

Each exchange removes the replacement unit from stock and adds the returned unit back once it passes inspection. Accurate scanning keeps both counts correct.
