What Is an EDI 810 Invoice?

The EDI 810 is the standard electronic invoice in the ANSI X12 set. After a supplier ships an order, it sends an 810 to the retailer requesting payment for the items delivered.

It replaces a paper or PDF invoice with structured data the retailer's accounting system can process automatically.

How It Works

An 810 usually includes:

  • The invoice number and date.
  • The purchase order number it bills against.
  • Items, quantities shipped and unit prices.
  • Payment terms, allowances or charges.
  • Totals for the invoice.

Why It Matters for Ecommerce Brands

The invoice is how the brand gets paid, so errors here directly delay cash. Retailers typically compare the 810 against the 850 purchase order and what was actually received. If quantities, prices or item numbers do not line up, the invoice may be held, short-paid or disputed.

For example, if a retailer ordered 50 units but the shipment contained 48, the invoice should reflect 48. Billing for 50 creates a mismatch that can slow payment and invite deductions.

This is why accurate fulfillment and accurate documents go together. When the shipment matches the order and the advance ship notice matches the shipment, the invoice is far more likely to be paid on time. Invoices are generally issued by the brand, often through its EDI provider.

Some retailers also apply allowances or discounts on the invoice, such as promotional terms agreed during onboarding. Making sure those terms are set up correctly with the EDI provider avoids disputes and keeps the accounts receivable process simple for the brand's finance team.
